Jobs
A Job is a way of grouping Erasure/Destruction Records together. Jobs are typically used when processing a batch of devices for a single client, or as part of a defined project or work order.
Why use Jobs?
Jobs help you:
- Organise records into logical batches.
- Link a group of records to a single Client.
- Generate a single Job Certificate covering all devices in the batch.
- Track chain of custody for a group of devices.
What a Job contains
- Job Reference — a unique identifier for the job (required).
- Customer Job Reference — the client's own reference number, such as a purchase order or work order number (optional by default; may be made mandatory by your administrator).
- Client — an optional link to the Client who owns or owned the devices.
- Records — all Erasure/Destruction Records linked to this Job.
- Chain of Custody Transfers — all transfers associated with this Job.
Job status
A Job can be open or closed.
- Open — Records can be added to the Job and details can be edited.
- Closed — The Job is finalised. It cannot be edited and no further Records can be added to it.
Use Close Job when all work for a job is complete and you want to lock the record.
Closing a Job is permanent. Once a Job is closed, it cannot be reopened or edited.
Clients and Jobs
A Job can have zero or one Client. You can:
- Create the Job without a Client.
- Link a Client at the time of creating the Job.
- Update the Client later (while the Job is still open).
When a Client is linked to a Job, any Records added to that Job will automatically inherit that Client.
Chain of Custody Transfers and Jobs
A Job can have many Chain of Custody Transfers linked to it. These transfers record the movement or handover of the devices associated with the Job.

Job Certificates
A Job Certificate covers all Records linked to that Job. It is useful when you need to provide a single document as evidence of destruction for an entire batch.
A Job Certificate only includes Records that are linked to that specific Job. Standalone Records that have not been linked to the Job are not included, even if they are linked to the same Client.
