Creating a Standalone Record
A standalone Record is an Erasure/Destruction Record that is not linked to a Job. This is useful when you are processing a single device or a device that does not belong to a client batch.
When to use a standalone Record
Use a standalone Record when:
- You are destroying an individual device outside of a batch.
- The work does not require a Job or project grouping.
- You need a Record Certificate for a one-off destruction event.
Creating the Record
- In the left sidebar, click Erasure Records.
- Click Add Record.
- In Step 1: Basic Information, leave the Job field set to None.
- Optionally select a Client if the device belongs to a specific client.
- Complete the media and erasure details in Step 2.
- Click Save Record.
Linking a Client directly
A standalone Record can optionally have a Client linked directly to it. This is useful if the device belongs to a client but does not form part of a larger batch.
To link a Client, select one from the Client dropdown in Step 1.
Linking a Client to a standalone Record does not make it part of that Client's Jobs. The Record will not appear on any Job Certificate for that Client unless it is explicitly linked to a Job.
Generating a Record Certificate
Once the Record is saved, open the record details page and select the option to generate a Record Certificate. The certificate covers this one device only.
What a standalone Record does not include
- It will not appear on any Job Certificate.
- It will not be grouped with other records in a Job view.
- It will not be included in chain of custody transfers linked to a Job.
