Creating an Erasure/Destruction Record

Each Record covers one device. If you are processing multiple devices, create a separate Record for each one.

Open the Add Record page

  1. In the left sidebar, click Erasure Records.
  2. Click Add Record.

Step 1: Basic Information

Job

Select a Job from the dropdown if this record belongs to a batch or project.

  • Only open (non-closed) Jobs are shown in the list.
  • To create a new Job without leaving the page, select Add New Job… from the dropdown.
  • If your organisation requires all records to be linked to a Job, this field will be marked as mandatory.
  • Leave this as None to create a standalone Record.

Client

Select a Client if this record should be linked to a client.

  • If you selected a Job that has a Client assigned, the Client will be set automatically and cannot be changed here.
  • To create a new Client without leaving the page, select Add New Client… from the dropdown.
  • If your organisation requires all records to be linked to a Client, this field will be marked as mandatory.
tip

Leave both Job and Client set to None to create a standalone Record.

Step 2: Media & Erasure Details

Pre-destruction image

Optionally capture photographic evidence of the device before it is processed.

  • Click Upload to select an image from your device.
  • Click Capture to use your camera or webcam.

Media Serial

Enter the serial number of the device. This field is required.

  • Click the barcode scanner icon at the right of the field to scan the serial number using your camera.

Media Part Number

Enter the device's part number if known (optional).

Media Type

Select the type of media from the dropdown:

  • HDD
  • SSD
  • Tape
  • Flash Drive
  • Mobile Phone
  • Other

Remarks

Add any optional notes about the device, such as its location of origin or condition — for example, From Server F34 or Faulty drive.

Erasure/Destruction Method

Select the method used. At least one method is required.

To record a second method (for example, degaussed and then shredded), click Add Another Erasure / Destruction Method.

note

Each method must be different. You cannot select the same method twice on the same Record.

Equipment integration

If your organisation has connected erasure or destruction hardware via Integrations, you can link the equipment here.

  • Select the integration from the Equipment integration dropdown.
  • Click Run Machine to initiate a cycle and have ErasureLog record the result automatically.

If you click Run Machine, ErasureLog will communicate with the connected equipment. The method fields will be locked once a successful cycle has been recorded.

Post-destruction image

Optionally capture photographic evidence of the device after it has been processed.

Save the Record

Click Save Record to create the Record.

After saving, you will be prompted to:

  • Add Another — create another record (the Job and Client selections are preserved).
  • View Job — navigate to the linked Job.
  • View Record — open the Record you just created.
