Certificate — Job Certificate

A certificate generated for a Job. Includes the details of all Erasure/Destruction Records linked to that Job. Does not include standalone Records that have not been linked to the Job.

Certificate — Record Certificate

A certificate generated for an individual Erasure/Destruction Record. Covers one device only.

Chain of Custody Transfer

A formal record of a device handover or movement. Captures the devices collected (identified by serial number), the name of the person handing them over, the collector, and optionally location and reference information. Both the client and the collector must provide a signature to complete a transfer. A Job can have many Chain of Custody Transfers.

Client

The person or company that owns or previously owned the media or devices being erased or destroyed. A Client can be linked to a Job, or optionally linked directly to a standalone Record.

Custom Field

An additional data field configured by an administrator to capture organisation-specific information on Records, Jobs, or Transfers.

Data Retention

The period for which records and associated data are stored in ErasureLog. Data retention policies may be configured by your administrator.

Device

The physical item being erased or destroyed. Each Erasure/Destruction Record covers one device. Supported device types include HDD, SSD, Tape, Flash Drive, Mobile Phone, and Other.

Erasure/Destruction Record

The core unit of data in ErasureLog. One Record captures the erasure or destruction of one device. Contains the media serial number, media type, method used, operator, date and time, and optional photographic evidence.

Hardware Integration

A connection to physical erasure or destruction equipment, such as a degausser or shredder. When an integration is configured, ErasureLog can communicate with the equipment to initiate a cycle and automatically record the outcome.

Job

A grouping of Erasure/Destruction Records. Typically used for batch processing or client work. A Job can have zero or one Client, many Records, and many Chain of Custody Transfers.

Media

The physical storage medium or device being processed. Used interchangeably with "device" in ErasureLog.

User Role

Controls what actions a user can perform in ErasureLog. System-level roles include User, Manager, Admin, and Super Admin. Within an organisation (tenant), roles include Owner and Admin.
